Managed Systems

Rooted Software will provide Managed IS support for [Client] through the time frame of the implementation to Donor Dock
The service provided is limited to Donor Dock.
Support needs will be established and prioritized by collaboration between Rooted Software and [Client] on a monthly basis.
Rooted Software will respond to unlimited email requests within 1-2 business days of receiving them and resolve these requests based on determined priority.

Scope - Essentials: 3months $2,000

Over the length of 3 months, Rooted will provided Managed IS support at 4hrs a month.
These hours can be used within any way defined in this scope
Rooted Software will assist with:
Setup Consultation for:
the setup of receipts
the creation of reports (standard or BI reporting)
the creation of custom Dashboard Pages
the creation of automations and journeys
the creation of email templates
integration configuration (for existing integrations only)
Maintenance Consultation for:
best practices for usage of [Client] systems
business processes-based on system capabilities
database administration tasks (i.e. setting permissions, user groups, archiving records, etc.)
Data Health Support (limited to 5 data points)
Data cleanup through bulk logic changes (limited by system export and update capabilities)
This process may necessitate client manual review or mapping of data to ensure the desired outcome.
Common data health objectives include (but are not limited to):
Bulk contact updates (such as contact names and contact types)
Archiving contacts based on Client requirements
Review and resolution of duplicate contact records
Bulk gift updates
Support needs will be established and prioritized by collaboration between Rooted Software and [Client]
[Client] can request 1, 1-hour consulting calls per month, as needed. (Rooted may require up to one week to accommodate).

Scope - Standard: 3months $4,000

Over the length of 3 months, Rooted will provided Managed IS support at 8hrs a month.
These hours can be used within any way defined in this scope
Rooted Software will assist with:
Setup (consultation level determined by client need. (Rooted can use these setup tasks to assist your team in learning or do them independently)
setup of receipts
creation of reports (standard or BI reporting)
the creation of custom Dashboard Pages
creation of automations
creation of email templates
integration configuration (for existing integrations only)
Maintenance
determining best practices for usage of [Client] systems
business process consulting based on system capabilities
database administration tasks (i.e. setting permissions, user groups, archiving records, etc.)
consulting on internal systems processes documentation
Data Health Support (limited to 10 data points)
Data cleanup through bulk logic changes (limited by system export and update capabilities)
This process may necessitate client manual review or mapping of data to ensure the desired outcome.
Common data health objectives include (but are not limited to):
Bulk contact updates (such as contact names and contact types)
Archiving contacts based on Client requirements
Review and resolution of duplicate contact records
Bulk gift updates

[Client] can request up to 2, 1-hour consulting calls per month, as needed. (Rooted may require up to one week to accommodate).

Scope - Advanced: 12months $8,000 - $16,000

Over the length of 12 months, Rooted will provided Managed IS support at 4-8hrs a month.
These hours can be used within any way defined in this scope
Setup (consultation level determined by client need. (Rooted can use these setup tasks to assist your team in learning or do them independently).

Data Health Support

[Client] can request up to 4, 1-hour consulting calls per month, as needed. (Rooted may require up to one week to accommodate)

Data Health

The [Client] will provide all necessary data exports from [Historical Database] to Rooted for assessment of data health. Along with data exports the [Client] will provide Rooted with admin access to the historical report building module, to review parameters and fields used.
Report data sources should be limited to what will be migrated into Donor Dock
The datapoints that Rooted Software will assess, will only be those datapoints which will be migrated to Donor Dock.
It will be [Client]’s responsibility to identify which fields to include/omit from the assessment
Fields that [Client] has yet to determine will be migrated to Donor Dock can be included in this assessment.

Data Health Assessment

The assessment will be completed solely by Rooted Software. Rooted has developer workflows that assess the overall health of your database, looking for duplication, inconsistencies, destination requirements, and Null values.
Rooted will provide a write-up of your assessment
A general grade for each field will be provided
A recommendation for [Client] to complete cleanup will be provided

Data Cleanup

From the assessed fields, Rooted will provide data cleanup to [Client]’s data. Fields that were not assessed will be considered out of scope for this cleanup.
Any changes to the data, Rooted will require confirmation from [Client] before proceeding
Rooted will provide a file with original values and new updated values for [Client] to review and confirm before changes are officially made
Rooted will determine what cleanup is required
If cleanup can be completed programmatically Rooted will make those changes as necessary
Cleanup may require [Client]’s involvement whether providing a general rule/mapping to follow or in complex and irregular rule cases, manual changes.
Rooted will be able to provide cleanup in a pre or post migration scenario
Pre-Migration
Rooted will work with the client to promptly proceed through this process prior to providing data to Donor Dock
Please expect 14 business days after the Data Health Assessment before cleaned data can be provided back to [Client]
A final file will be provided back to the client to review and provide to Donor Dock once completed.
Post-Migration
Rooted will work with the client to get data promptly updated in their live database once completed
Please expect 14 business days after the Data Health Assessment before cleaned data can be provided back to [Client]
Depending on the [Client] preference:
A file can be provided to [Client] to utilize the Donor Dock import update feature
Rooted could utilize the Donor Dock import update feature
Rooted would require full admin access to your Donor Dock database to complete this
Delivery of cleaned data, for record keeping
[Client] will receive the original file provided, with no changes made
[Client] will receive the cleaned file
